Review and update your Google Vault search queries that use Google Chat before November 16, 2020.

 Dear Google Workspace Administrator,

On November 16, 2020, unthreaded rooms will start becoming the new default room type in Google Chat. Currently, messages in rooms are grouped into conversations, also known as threads. In the new unthreaded rooms, messages aren’t grouped. This means that Vault will handle messages in unthreaded rooms differently from threaded rooms. Google Vault will apply search terms to individual messages. This includes how messages are searched as described in “What’s changing?” below.

Room history will be set to ON by default which will retain chat messages for users in your organization. However, users will have the option to turn history OFF unless you uncheck the Allow users to change their history setting. Update saved queries in Vault that use Chat room search terms to ensure those searches return the results you expect.

Google Chat and Vault updates will begin rolling out over several weeks after November 16, 2020.

What’s changing?

Your users may see the following changes to chat rooms, chat histories, and vault after November 16:

• Creating new Chat rooms. When your users create a new Chat room, conversations will be unthreaded unless they turn ON threaded replies.
• Chat room history. A new Set room history on or off setting is available in the Google Admin console.
  • This setting allows you to decide the default history setting for rooms within your organization.
  • Your users will have the option to turn chat history ON or OFF. This differs from the current threaded rooms history setting, which can’t be turned OFF. This capability can be restricted by setting the Allow users to change their history to OFF. Unthreaded rooms will still respect individual user-level history settings.
• Vault search and export. Search terms are applied to individual messages in unthreaded rooms.
  • For example, when you preview and export unthreaded messages in your search results, all messages in the room sent 12 hours before and 12 hours after the matched messages are returned to provide context.
  • Currently in threaded rooms, Vault returns the entire conversation for a matched message.
• Vault retention. A custom retention rule must be set to all rooms in order to apply to threaded or unthreaded rooms. Applying a custom retention rule to an organization unit will not apply to rooms.
• Vault holds. Unlike threaded rooms, unthreaded messages are held even if a user on hold doesn’t send a message to the room. All messages in an unthreaded room are held when at least one member is on hold.

What do I need to do?

Choose from the following options that best meets the needs for your organization:

• No action is required to activate unthreaded rooms. Unthreaded rooms will be the new default when creating a new room.
• If your organization has saved queries in Vault that are being used as search terms in Chat rooms, evaluate if you need to update the queries. See more examples of these changes.
• If you want to retain messages in unthreaded rooms by default, turn ON room history.
  Note: Your users will still be able to turn off history for unthreaded rooms, unless the Allow users to change their history setting is unchecked.

변경사항

Vault 검색 및 내보내기 검색어는 읽지 않은 룸의 개별 메시지에 적용된다.

예를 들어, 검색 결과에서 읽지 않은 메시지를 미리 보고 내보낼 때, 일치하는 메시지 12시간 전과 12시간 후에 보낸 룸의 모든 메시지는 컨텍스트를 제공하기 위해 반환된다.

현재 스레드 룸에 있는 Vault는 일치하는 메시지에 대한 전체 대화를 반환한다.

Vault Retention. 쓰레드 또는 쓰레드방식이 아닌 채팅방에 적용하려면 모든 룸에 사용자 정의 보존 규칙을 설정해야 한다. 조직 단위에 사용자 정의 보존 규칙을 적용하는 것은 룸에는 적용되지 않는다.

Vault Hold. 쓰레드방식의 채팅방과 달리, 보류 중인 사용자가 채팅방에 메시지를 보내지 않더라도 읽지 않은 메시지가 보관된다. 읽지 않은 룸의 모든 메시지는 적어도 한 명의 구성원이 보류 중일 때 보관된다.

조치방법

조직의 요구 사항에 가장 적합한 다음 옵션 중에서 선택하십시오.

스레딩되지 않은 채팅방을 활성화하기 위해 어떠한 조치도 필요하지 않다. 새 룸을 작성할 때 스레드되지 않은 룸이 새로운 기본값이 된다.
